Job Summary:The Lease Administrator is responsible for accurately completing administrative duties related to leases, lease charges and security deposits in a timely manner. Responsible for understanding the flow of tenant funds (security deposit, last month's rent, forfeitures, etc.) and the resulting accounting. Responsible for creating accurate charges and rent statements to tenants timely. Utilizing tools to track deliverables and deadlines; also communicating results with internal and external parties. The Lease Administrator must have strong communication skills, attention to detail, organizational skills and follow-up skills. Must have the ability to work at least 40 hours per week.Essential Duties and Responsibilities:1. Ensure that lease data is accurately and timely reviewed, integrated and updated into Yardi for all lease types.a. Move-in and Move-out tenantsb. Review/verify all transactions for accuracy prior to posting, including pro-rated calculations.c. Review Tenant Card to ensure all information is updated.2. Accurately generate, review and post rental charges and rent statements timely.3. Ensure all lease charges, Scrie, Drie, Cam and ancillary charges are reflected on tenant ledger and billed accordingly.4. Handle the renewal/non-renewal process from start to finish.5. Handle tenant swaps and replacement from start to finish6. Effectively communicate with tenants regarding their lease / tenant account and respond to inquiries timely7. Ensure that all rent stabilized leases are created and submitted timely and all renewals leases comply with RGB.8. Review security liability reports for accuracy9. Review unit and tenant directory reports, rent rolls and aged delinquency reports for accuracy10. Review rent payments and prepare deposits as needed11. Review and update tenant cards for updated COI's.12. Ancillary weekly reports13. Create and maintain tracking reports for expiring leases and leasing department deliverables14. Develop and file regulatory reports with the City for rent stabilized units (DHCR)15. Communicate with attorney for MBR increases relating to rent controlled units.16. Provide coverage for AR / AP when needed.17. Special Projects as assignedQualifications:1. Minimum 3 -- 5 years of Lease Administration experience in Real Estate required2. Minimum 3 years of AR experience preferred3. Knowledge or Yardi or similar software required4. Excellent oral and written communication skills5. Expert interpersonal skills, allowing for clear communication with colleagues, tenants, owners, etc., while exercising tact and diplomacy6. Exceptional organizational skills and attention to detail7. Proficient multi-tasking ability8. Problem Solving and conflict resolution skills9. Team Player but can work independently10. Sound working knowledge of Federal, State and local housing regulations11. Proven ability to thrive in a fast paced, high volume environment12. Ability to work overtime as required13.
