  • We are seeking an experienced, dynamic office manager to lead our office team to continued growth and success. The office manager is responsible for the management and operations of the office, including care coordination, oversight of customer service, budgeting, fiscal management, recruiting, marketing and business development.Daily office operations.Responsible for overseeing daily office operations.Troubleshoots when there are issues with the phone system, scheduling system, network connections, and office equipment.Collaborates with the office team to address customer service issues, scheduling issues, and field staff issues.Evaluates office workflows, office procedures and makes recommendations for improvements.Monitors productivity and efficiencies via management reports and hands-on oversight of office staff.Oversight of care coordination.Ensures that care coordinators are covering all schedules and appropriately assigning caregivers to clients. Assigns, delegates projects as necessary to coordinators and manages and monitors their performance.Communicates with clients, field staff, and referral sources to resolve higher level problems or concerns that go beyond the scope of the care coordinators’ authority.Provides excellent customer service and ensures clients and field staff comply with company policies.Communicates regularly with clients and/or their family members to obtain feedback on services and resolve any problems or concerns.Collaborates with human resources to strategize recruitment of field staff and the hiring process of qualified candidates.Oversees the training procedures of field staff and works with human resources to ensure the training program meets company standards.Billing, collections, and payroll.Oversees billing process every two weeks.Reviews account receivables and oversees collections and overdue customer payments.Processes and uploads payroll every two weeks.Planning, budgeting and fiscal management.Develops, in conjunction with the owners, the annual budget and projections for the company.Ensures budget is adhered to on a monthly basis.Marketing and business development.Understands company’s goals for growth and works with marketing to develop relationships with referral sources.Monitors billable hours and implements client retention strategies.Oversees the sales pipeline and collaborates with marketing and office team to obtain new clients.Requirements:1. Must have at least 3 years' experience in the home care field.2. Must have at least 3 years' experience in office management.3. Must have strong written and verbal writing skills.4. Must demonstrate strong leadership skills.5. Must have strong problem solving skills and be able to make decisions in a fast paced, high pressure environment.6. Attention to detail and organizational skills a must.
