Job Overview:
Summary Responsible for successfully managing multiple complex projects that span across multiple entities and disciplines within the organization. Projects are expected to be managed simultaneously and include teams composed of the client, remote team members, multiple sites, new technology, etc. This may include the need to interact independently with all levels of management across the organization.
Main Job Functions • 90% - Project Management and Delivery
• 10% - Customer Relationship Management
Detailed Job Requirements:
Project Management • Define and document Project Charter (stored in Clarity)
• Facilitate high level risk identification with team in Clarity
• Facilitate work and data flow definition and documentation (stored in Clarity)
• Define and document organizational readiness as it relates to culture, skills required, and resistance to change
• Define project team roles and responsibilities and work with resource managers to staff project assignments in Clarity appropriately in support of allocation practices – includes business unit, IT/IS, and others as required
• Define and document the scope of the project (stored in Clarity)
• Define and document deliverables based Work Breakdown Structure (WBS – stored in Clarity)
• Define and document the workplan (schedule) for the project in Clarity
• Document the Project Management Plan (communication, risk/issue management, etc – stored in Clarity)
• Define and document the budget plan for the project (stored in Clarity)
• Consistent project status reporting in Clarity and distributed via email
• Manage all phases of Healthcare IT projects including initiation, planning, cost management (when applicable), resource management, communications, and quality management
• Document lessons learned throughout the project in Clarity
• Facilitate timely sponsor/leadership acceptance via in-person meeting
Project and PMO Team Management • Facilitate healthy team dynamics
• Lead and motivate the project team
• Facilitate weekly team meetings to articulate deadlines, tasks, changes, and obtain status from individual players
• Provide day to day direction and resolve issues within the team
Effective Communication • Negotiation and conflict resolution
• Ability to adjust delivery style depending on the receiving audience
• Transparency
• Independently negotiate and define realistic expectations (internal and external) with project team and stakeholders
• Independently facilitate team discussions to arrive at estimated effort and duration
• Meeting management and facilitation (agendas/minutes)
• Timely and effective escalation with attention paid to the sensitivity and political nature of the situation
Project Management Mentor • Mentor other project managers as needed
• Promote an environment that encourages knowledge sharing
• Understands impact of his/her words or behaviors on others
• Assistance in the development and improvement of PMO tools, templates, and processes as needed
Other Information
Direct Reports N/A
Professional/Technical Skills • PMP Certification preferred
• Proficient using MS Project or Workbench
• Experience with Enterprise Project Management systems preferred
• Proficient using Visio and other process documentation tools
• Experience working in a formal PMO organization preferred
Years Experience • 7-10+ PMBOK based project management
