JOB DESCRIPTION –Accounting Administrative Assistant Summary/ObjectiveThe job involves a variety of duties including the provision of administrative and financial support to RUBYHAS on a day-to-day basis. Experience in working with basic Accounting and bookkeeping skills are essential.Essential Functions• Assist accounting department in recording, reconciling and auditing accountingData.• Prepare and disburse payments to vendors.• Post transactions involving cash receipts, disbursements and/orAccounts payable and receivable to ledger accounts.• Assists the accountant in the preparation of financial statements,Cost reports and bank reconciliations as needed.• Interpret contracts provisions in order to identify allowable/no allowableExpenditures.• Check and review audited vouchers to ensure accuracy andConformance to established accounting procedures.• Provide technical assistance on the preparation of reimbursableDocuments to the contractors, subcontractors or other agencies.•Performs other miscellaneous duties assigned by the office manager/bookkeeper to support the accounting department.•Managing billing and receivables.•Receive payments from various sources.•Implement and maintain organized filling systems. .Entry Level Skills and Qualifications:The administrative assistant will be obligated to possess the following abilities, aptitude and qualifications to be eligible to perform mandated tasks:A certificate of post-secondary education, such as associate degree, exclusively in accounting, office administration, or other relevant appropriate branch of studyWork experience in an account payable and bookkeeping setting for at least one year.Exhibit self-motivation and steadfastnessShould display proficiency in finding resolutions to problemsOutstanding knowledge of specialized industry accounting principles.Experience with Quick Books accounting software.High energy level, creativity and flexibility.The above information in this description has been designed to indicate the general nature and level of work performed by employees with this level of responsibility.
